Academic Computing Policy Board

Minutes for September 12, 2006

Amended and adopted September 19, 2006

The meeting was convened at 1:30 in the IIT offices.

Members present: Gary Miessler (chair), Phyllis Larson, Roberta Lembke, and Anthony Becker.

1. Roberta gave a description and update on cooling problems in the IIT equipment room that caused a major service disruption the preceding weekend. A compressor on the room’s cooling system failed and the temperature had risen to approx. 120° F by the time staff arrived. A portable cooling unit has been installed and the main cooling unit will likely be replaced sometime this year. This will require a major shut-down of network and Internet services. An environmental monitoring device will be installed to provide more timely alerts to staff of future problems.

2. The ACPB responsibilities were distributed for the Board’s information. (See http://www.stolaf.edu/services/iit/policies/policy_board.html.)

3. A draft policy on the purchase of laptop computers for faculty (“Faculty Laptops”) was distributed and discussed.

The Board agreed that:

  • Laptops might be approved in lieu of desktop computers under a limited set of pedagogical circumstances.
  • The purchase price of a laptop would be limited to that of a standard desktop.
  • Laptops would not be replaced sooner than five years from initial purchase.
  • Faculty with laptops would not be provided additional equipment such as external monitors, keyboards, or mice at college expense nor would they be allocated a college-owned desktop computer.
  • Faculty would be required to assume personal responsibility for damage or loss occurring off-campus.
  • Faculty would agree to keep antivirus and system software updated and use encryption on confidential student information.

Roberta agreed to circulate a revised draft policy before the next meeting.

The next meeting was scheduled for September 19, 2006, at 1:30 in IIT offices.

The meeting was adjourned at 2:30.
