Minutes: Gender and Sexuality Planning Meeting (3:15-4:15 pm, Sept. 4, 2008)

1. Welcome Luncheon (11:20-12:35 pm, Thursday, Sept. 18)
a) Cost of the luncheon: It will cost approximately $600 for the luncheon. We will request the money from the President's Office.$90 setup fee / $60 for 1 server / $30 (.30 X 100 for napkins) / $32 (3.20 X 10)
$30 for flowers / $50 for printing / Lunches for fac., staff, and students without a meal plan ($340)
b) Food: Nancy will set up a board exchange lunch with Bon Appetit
c) Decorations: Max will bring helium balloons from the Student Activities office, and Susan will get flowers for the tables. The following people will arrive at 10:30 to help set up the Sun Ballroom: Susan, Bruce, Mara, Nancy, and Bill. We could use a couple more people if others would like to help.
d) Name tags and seating: Nathan will bring name tags, and Susan C. will use her color-coding system to make sure each table has a good mix of students, staff, and faculty.
e) Info table: Instead of having an info table, we will add website addresses to the information about the Gender and Sexuality organizations that are listed in the luncheon program.
f) Greeters: Bill and Linne will serve as greeters. We could also use a couple of students to greet and help people find their tables.
g) Luncheon program:
- Welcome by the student MC (Mara will arrange for the MC)
- Prayer by the college pastor or by a student (Nancy will arrange)
- Table discussion during the lunch (Same questions as last year)
- Staff or faculty speaker (Nathan will arrange)
- Introducing campus organizations: MC will introduce the gender and sexuality organizations and ask the leaders/members to stand up. (Mara will arrange for the leaders of 3 organizations to give brief talks about their upcoming events this year.)
- Closing: Student reflection on the inclusiveness of the St. Olaf community
(Mara will arrange)
h) Printed program and info about groups: Nancy will update last year's program
i) Invitation: Nathan will update the e-mail invitation and send it out
j) Publicity: Nancy will update last year's poster and add info to SOLGEN website. Mara will add the event to the Alphabet House calendar and update the GLOW website.
2. GLOW and AfterGLOW Homecoming Reception
Mara will talk to the other students in the Alphabet House about hosting the homecoming reception. The Parent and Alumni Office will provide food and drink.
3. Coming Out Week is Oct. 6-10, 2008.
4. The Gender and Sexuality Center has moved to the 6th floor of Holland Hall. Mara is organizing a meeting next week to establish the new student organization, and the following week there will be a meeting for the GSC faculty/staff advisory board.
5. Focus of our work in 2008-2009:
- What would a welcoming campus community look like?
- What would a good citizen in such a community do?
