Dossier Preparation Checklist

Tenure and promotion dossiers are due in the Office of the Dean of the College the morning of December 1.

The notebook for the dossier comes to you from our office some time during the summer prior to the review. The dossier should contain the following [for a more in-depth description please refer to Section IX of the Faculty Manual]:

  • Five copies of the candidate's vitae [one for each member of the tenure and promotion committee]. The CV is limited to seven pages with 12-point, or larger, font.
  • Five copies of the department's Statement on Significant Professional Activity [again, one for each member of the committee].
  • The candidate's statement.
  • FOR TENURE CANDIDATES ONLY, a poll of all tenured members of the department.
  • Letters from all tenured members of the candidate's department.
  • Three to five letters from St. Olaf colleagues outside the candidate's department.
  • The completed student survey forms concerning the candidate's teaching.
  • A summary of quantitative information collected via student survey forms.
  • A summary of completed student survey forms prepared by the student committee.
  • Peer reviews by three faculty members.
  • Three to five letters of professional evaluation from individuals outside the college [the dean's office collects these letters and the originals are sent to the preparer of the dossier as they arrive in our office].
  • No more than five letters from St. Olaf grads who have worked with the candidate.
  • The department chair's recommendation.
  • The associate dean's recommendation.

If you have not already done so, please include an additional copy of the professional materials that the candidate submitted for review by external evaluators. The committee reviews each candidate's professional materials in conjunction with the letters submitted by the evaluators.
