Roomdraw FAQ

  1. When is roomdraw?
    Roomdraw takes place on April 19 and April 21.

  2. Where is roomdraw taking place?
    The Sun Room in the Buntrock Commons.

  3. What should I remember about specific rooms?
    Single rooms will cost $1000 (08-09 price) more than other rooms next year.

  4. How are draw numbers assigned?
    We use a computer-randomizing program to assign draw numbers.

  5. Where are the Quiet Floors for next year?
    Check in the Quiet Floors section.

  6. Do all the students have to be present at Roomdraw to choose a room?
    No, but one of the students in a group must have all the signed roomdraw slips to draw for a room. For example: In order to draw for an Ytterboe dectet, one student must have 10 signed draw slips to participate in this draw. Any one of the ten students can be the representative.

  7. What if I cannot make it to a draw?
    You need to come to the Residence Life Office (127 Administration Building) and fill out a roomdraw proxy card. You can give your signed draw slip and the proxy card to your proxy and he/she can represent you at roomdraw.

  8. How important is my draw number?
    Roomdraw is based upon seniority, then based upon draw number. For example, for doubles roomdraw, Senior/Senior pairs will line up first, then Senior/Junior, then Senior/Sophomore pairs. Within all pairs that are equal (Senior/Senior), the pairs will be lined up by draw number (1001 being the best number, 1002 next, etc.) The pair will always use the best number as they line up.

  9. Who gets to enter the roomdraw area to choose a room?
    Only one person in a group (double, triple, quad, pod, etc.) can enter and choose the room(s). Please have all your options open and be prepared to make your choice when you enter.

  10. If I am going on an abroad program for the fall semester, can I go through Roomdraw?
    No; however, check details in the Off-Campus College Program section of this document.

  11. Where can I find out more about roomdraw?
    Pay attention to posters in the residence halls, and check out the General Information section on this page!

Important General Information for 2008-2009 Roomdraw

Housing Alternatives
The housing process at St. Olaf provides many options. To assure the best housing choice for the 2008-2009 academic year:

  • Read The Book to gain a good understanding of housing policies and procedures.

  • Visit the Residence Life Office to view Residence Hall floor plans, noting which rooms are designated quad, triple, single, etc.

  • Attend the Roomdraw Information Sessions (see times below) held in the residence halls in March. Look for posted signs for date, times, and locations.

  • Watch for special roomdraw announcements posted near all residence hall desks.

  • Take special note of The Book of the information regarding the refrigerator and construction policies for rooms. If a modification is made to any of these policies, the student body will be notified at the roomdraw process.

  • Contact your Area Coordinator, Student Hall Coordinator, Junior Counselors, or Resident Assistant if you have questions. Please feel free to stop in the Residence Life Office (Administration 127) to ask our staff any additional questions. We are happy to help out!

  • Remember that it is the responsibility of each person to find his/her own roommate(s). Students without a roommate are welcome to submit their names and/or browse through a "People Wanting Roommates" file in the Residence Life Office.

  • Be aware that anyone without a roommate at the time of the roomdraw may draw a room at the end of the doubles roomdraw of his/her class.

  • Always arrive at the Sun Room in the Buntrock Commons, 10 minutes prior to the time indicated on the roomdraw schedule. We will not begin roomdraw events until the posted time, and we will not wait for late individuals or groups to arrive.

Eligibility Members of the classes of 2009, 2010 and 2011 who make the $600 reservation payment or necessary arrangements by March 14, 2008, will receive first consideration for all roomdraw events. Those whose payment is received between March 15 - April 15 will be able to participate if space is available. If there is space students paying late will be given a draw slip at the end of their respective class in the order their payment is received. If you are unable to make the reservation payment on time, you will need to make alternative arrangements in the Financial Aid Office. This means each of your anticipated roommates or housemates must pay the $600 reservation payment or make the necessary arrangements with Student Financial Aid Office to participate in roomdraw.

The $600 reservation payment is non-transferable and subject to the refund schedule outlined on in the St. Olaf Catalog. Any outstanding fines to the College (i.e. parking tickets, phone bills, late tuition payments, etc.) need to be paid or arrangements to pay need to be made before your $600 can be placed as a commitment toward the 2008-2009 academic year. If you have questions about the $600 payment or the status of your account, see someone in the Financial Aid Office as early as possible before roomdraw.

Late Payments
Students who make their $600 reservation payment between March 15 - April 15 may participate in the draw if space is available. Students in this situation will be placed at the end of their class in the order their payment was received. If there is no space at the time a student makes their payment or the student pays after April 15 the student will be on a waiting list to be housed after roomdraw if space becomes available. The students on the wait list will find out about housing later this summer. It is not guaranteed that if you make your payment on March 15 that there would be space, please plan accordingly.

Proxies
If a student is unable to be at Roomdraw, a proxy may be chosen. Roomdraw proxy forms are available from the Residence Life Office and must be signed by the student and the proxy. These forms must be brought with the Roomdraw slip to the Roomdraw event. Students appointed and registered with the Residence Life Office to be proxies for students off campus this semester will receive housing information on behalf of the absent student. Proxies must be students currently enrolled and attending classes on the St. Olaf campus.

Seniority
The housing process at St. Olaf is based on the tenet that students shall have priority according to class year. Class year is determined from the Registrar's computerized records as of registration, Semester I, 2007-2008. Anyone who has been enrolled in eight semesters of college and/or has 33 class credits after Semester II registration will not be considered for on-campus housing until all other students have been housed. Since the demand for housing is great, on-campus housing is not guaranteed to these students.

Rooms at Capacity
In multiple-capacity rooms, all students must have paid the $600 reservation payment to participate in roomdraw. Groups or individuals will not be placed on a waiting list until all members have paid the $600 reservation payment.

Residence Hall Opening
Residence halls will be available for 2008-2009 occupancy after 9:00 a.m. on Monday, September 1, 2008. Measurements for carpeting should be made prior to leaving campus this spring.

Policies
Students who live in college housing are making a commitment to abide by College policies as outlined in The Book.

Housing Changes
Each student is entitled to one housing choice each year. Room and roommate(s) choice at roomdraw will be considered binding for the entire academic year unless an individual officially withdraws from St. Olaf College. Occasionally, circumstances allow for housing adjustments once a semester begins. In any case, all students must remain in their selected room until the beginning of the third week of Semester I.

There will be a housing freeze between Roomdraw and September 14, 2008. In addition, there is a room freeze in effect the first and last two weeks of every term. Students who fail to respect this freeze will be referred to the Director of Residence Life for disciplinary action. The consequence of which dictates that each person involved (all roommates) in the violation will receive an automatic fine of $100 plus the removal of their names from the computer randomizing process used in roomdraw for the following year. These names will automatically be assigned the last drawing times for returning students who paid the $600 reservation payment.

If a roomdraw violator is a senior, or a student whose housing will be off-campus the following year, the computer randomizing name drop would not be instituted, but rather an additional $75 fine (a total of $175) will be instituted along with additional sanctions as deemed appropriate by the Director of Residence Life.


Options for On-campus Housing

There are several on-campus housing options available. Choose the option preferred and follow the procedure listed below.

When preparing for Roomdraw, each person or set of roommates should rank their choices before coming to the draw so that those unable to get their top choice(s) can quickly make an alternate selection.

Room and floor designations will be posted on Friday, April 11. The Director of Residence Life may declare a particular room or rooms closed to the draw to accommodate specific medical problems. Any person who has a special health consideration must provide medical documentation and meet with the Director of Residence Life prior to April 1, 2008. Each situation will be handled individually.

Occasionally, the college manufactures rooms to meet the demand for rooms of a specific category (i.e. manufactured triples). Occupants of rooms manufactured by the College will receive a rebate based on the occupancy for each term. At times, students request to manufacture rooms on their own. These arrangements are subject to the approval of the Director of Residence Life. If approved, no rebate will be given.

Transfer Roommates

A student interested in rooming with a transfer student must obtain an application from the Residence Life Office and return it by the due date.

This application process applies only to students who choose to live with transfer students who are new to the campus in September, 2008.

Students selected as Transfer Student Roommates will receive special draw slips. Rooms will be set aside and may be drawn by Transfer Student Roommates. They may also opt out of the specific Transfer Roommate draw and go to regular Doubles draw. Transfer Student Roommate's drawing for a double room will be treated as a complete pair.

International Student Roommates and International Student Counselors

A student interested in being an International Student Counselor or rooming with an international student must fill out the International Student Roommate Application linked below and return it to the International Student Advisor Office in Manitou Cottage.

This application process applies only to students who choose to live with international students who are new to the campus in September, 2008. Roommates choosing to live with returning international students follow regular roomdraw procedure.

Students selected as International Student Roommates will receive special draw slips. International Student Counselors and their roommates as well as International Student Roommates will draw for their rooms during regular roomdraw. Rooms will be set aside and may be drawn by International Student Roommates or Counselors.

International Student Counselors and International Student Roommates will draw from those rooms reserved in Larson Hall or other designated halls. International Student Roommates may also draw any open double rooms in buildings other than Larson. International Student Roommate's drawing for a double room will be treated as a complete pair.

Quiet Floors: Mellby 3rd & 4th floor

Two floors will be designated as quiet floors to meet the needs of students who choose to live in a more quiet environment than might be found on the average residence hall floor. Students who sign up to live on these particular floors agree to abide by the terms and conditions in The Book. Floors designated as quiet floors will be indicated on the Room Designation Charts.

Special Roomdraw Options

All special roomdraw events will be held on Saturday, April 19, 2008 in The Sun Room in Buntrock Commons. A schedule of times for each event is included in this document, as well as posters in Residence Halls and the Buntrock Commons.

How To Participate
Draw slips will be placed in P.O.'s on April 16, 2008. Only one person from the group will be allowed to enter a roomdraw event. The person attending the draw, representing the group, must present his/her St. Olaf ID card (or other valid photo identification) and a draw slip for each individual in the group for the particular roomdraw event. To determine what time to report for a particular multiple-occupancy room event, refer to the schedule in this document, and posters around campus. Individuals will be lined up in the order they will draw, with the lowest number within the priority grouping going first. We will not begin any draws early, but we will not wait for late individuals or groups.

Any rooms not selected at Larson, Mellby, Mohn, Rand, and Ytterboe special draws will be returned to the general pool of double and/or single rooms and drawn at Doubles or Singles Roomdraw.

Lost or misplaced draw slips can be replaced by contacting the Residence Life Office at least one day prior to the draw, or by the Director of Residence Life at the roomdraw event if you lose your draw slip on the day of the draw.

YTTERBOE SPECIAL DRAWS
Ytterboe Floor Plans
Ground Floor, First Floor, Second Floor, Third Floor

The following draws are open to Senior and Junior students only. Please read the specific requirements associated with each draw. Please note that the single rooms (including in the pods) will be $1000 (08-09 price) more than other rooms on campus.

  • Ytterboe Dectets (Ten): Requires 10 students of the same gender. A dectet is composed of four doubles and two singles. At the time a dectet is selected, the individual room assignment of each student must be indicated.

    We draw the dectets first and have not had the next two options -nonets or octets available at draw since 1998.
    Only Seniors and Juniors are eligible for Ytterboe Dectets, Nonets and Octets. Groups drawing for Ytterboe will draw in order of seniority - the more seniors in the group, the earlier the draw time. Draw slips and the number of seniors in the group will influence placement in the draw order.

  • Ytterboe Nonets (Nine): Requires 9 students of the same gender. A nonet is composed of four doubles and one single. The remaining single is returned to the pool of single rooms for the General Singles Roomdraw. At the time a nonet is selected, the individual room assignment of each student must be indicated. Ytterboe Nonets are taken from any remaining completely open dectets following dectet draw.

  • Ytterboe Octets (Eight): Requires 8 students of the same gender. A Ytterboe octet is composed of four doubles. The remaining single rooms are returned to the pool of single rooms for the General Singles Roomdraw. At the time a Ytterboe octet is selected, the individual room assignment of each student must be indicated. Ytterboe Octets are taken from any remaining completely open dectets following dectet and nonet draws.

    In the Nonet and Octet draws there is NO substitution of rooms; i.e. two singles to replace one double. Single rooms remaining are returned to the General Singles Roomdraw. Again, we have not had nonets or octets available at draw since 1998.
  • Ytterboe Sextets (Six): Requires 6 students of the same gender. Each designed sextet is composed of two double rooms and two single rooms. A total of four sextets are located in Ytterboe. At the time a Ytterboe sextet is selected, the individual room assignment of each student must be indicated.
  • Ytterboe Quints (Five): Requires 5 students of the same gender. There are two designed quints located in Ytterboe. A designed quint is composed of two double rooms and one single room. Additional quints can be taken from any remaining completely empty dectets remaining after dectet, nonet and octet draw. A dectet would be divided into two quints. At the time a Ytterboe quint is selected, the individual room assignment of each student must be indicated.
  • Ytterboe Quad (Four): Requires 4 students of the same gender. This is a designed quad consisting of two double rooms. There is one designed quad in Ytterboe. At the time a Ytterboe quad is selected, the individual room assignment of each student must be indicated.

    Important for students in Ytterboe pods: should the person in the single room(s) leave after roomdraw is over, the resulting vacancy will be assigned by the Director of Residence Life.

    RAND SUITES
    Rand Floor Plans First Floor, Second Floor, Third Floor
  • Rand Quad Suites for Juniors and Seniors: The Rand Quad Suite draw is open to Juniors and Seniors and requires four students of the same gender. Each quad suite consists of two double rooms connected by a bathroom. At the time a Rand Quad Suite is selected, the individual room assignment of each student must be indicated. Rooms designated as quad suites will be indicated on the Room Designation Charts. The beds in Rand Quad Suites must stay in the designated rooms. There cannot be a room for all of the beds and a room as a living area.

    Important for students rooms with a vacancy: In the case of a vacancy in a room the remaining roommate(s) will be made aware of his/her options for filling the vacancy.
  • Rand Triple Suites: The Rand Triple Suite draw is open to Juniors and Seniors and requires three students of the same gender. Each triple suite consists of one double room and one single, connected by a bathroom. At the time a Rand Triple Suite is selected, the individual room assignment of each student must be indicated. Rooms designated as Triple Suites will be indicated on the Room Designation Charts. The beds in Rand Triple Suites must stay in the designated rooms. There cannot be a room for all of the beds and a room as a living area. Please note that the single room in the suite will be $1000 (08-09 price) more than the double.

    Important: In the case of a vacancy in the double room the remaining roommate will be made aware of his/her options for filling the vacancy. If the vacancy is in the single room the Director of Residence Life will assign a student to the vacancy.

    MELLBY SUITES FOR SENIORS AND JUNIORS ONLY

    Mellby Triple Suites: Requires 3 students of the same gender. Each triple suite consists of one double room and one single room, connected by a doorway. At the time a Mellby Triple Suite is selected, the individual room assignment of each student must be indicated. Rooms designated as Triple Suites will be indicated on the Room Designation Charts. Please note that the single room in the suite will be $1000 (07-08 price) more than the double.

    Important: In the case of a vacancy in the double room the remaining roommate will be made aware of his/her options for filling the vacancy. If the vacancy is in the single room the Director of Residence Life will assign a student to the vacancy.

    MOHN OCTETS AND SEXTETS
    Mohn Floor Plan

  • Mohn Sextets (Six): Requires 6 students of the same gender. Each Mohn Sextet consists of three doubles located next to each other on the same hallway. At the time a Mohn Sextet is selected, the individual room assignment of each student must be indicated. Rooms cannot be designated as "sleeping rooms" and "living rooms." All rooms must keep their original number of beds and furniture in the rooms. Rooms designated as part of a Mohn Sextet will be indicated on the Room Designation Charts.

  • Mohn Octets (Eight) for women only: Requires 8 students of the same gender. Each Mohn Octet consists of four doubles located next to each other on the same hallway. At the time a Mohn Octet is selected, the individual room assignment of each student must be indicated. Rooms cannot be designated as "sleeping rooms" and "living rooms." All rooms must keep their original number of beds and furniture in the rooms. Rooms designated as part of a Mohn Octet will be indicated on the Room Designation Charts. Mohn octets are not available for men.

    LARSON SEXTETS
    Larson Floor Plan

  • Larson Sextets (Six): Requires 6 students of the same gender. Each Larson Sextet consists of three doubles located next to each other on the same hallway. At the time a Larson Sextet is selected, the individual room assignment of each student must be indicated. Rooms cannot be designated as "sleeping rooms" and "living rooms." All rooms must keep their original number of beds and furniture in the rooms. Rooms designated as part of a Larson Sextet will be indicated on the Room Designation Charts.

General Rooms

  • General Quints (Five): Requires 5 students of the same gender. A general quint consists of one double room and one triple connected by a bathroom. At the time a quint is selected, the individual room assignment of each student must be indicated. Rooms designated as quints will be indicated on the Room Designation Charts.

  • General Quads (Four): There must be at least 3 students of the same gender in a group to participate. Groups of four students will have the first opportunity to draw for general quads, groups of three students would follow to draw for any remaining quads or to place their names on a waiting list. Rooms designated as quads will be indicated on the Room Designation Charts.

  • General Triples (Three): There must be at least 2 students of the same gender in a group to participate. Groups of three students will have the first opportunity to draw for general triples, groups of two students would follow to draw for any remaining triples or to place their names on a waiting list. Rooms designated as triples will be indicated on the Room Designation Charts.

    Important for students rooms with a vacancy: the remaining roommate(s) will be made aware of their options for filling the vacant space.

  • Singles (One): Rooms designated as singles will be indicated on the Room Designation Charts For singles draw times, check the calendar of events. Singles will cost $1000 (08-09 price) more than other rooms on campus.

  • Doubles (Two): Double rooms will be available to all students who have made the $600 reservation payment according to the payment guidelines under the Eligibility section of this document, and who have not chosen housing by another process. Draw slips will be placed in P.O.'s of all eligible students on April 16, 2008. Draw slip numbers will be randomly assigned by the computer. The Doubles Roomdraw will be April 21, 2008.

    Students in double roomdraw use the lower number of the two draw slips to determine order. Only one person from the roommate set will be allowed to enter the Sun Room in the Buntrock Commons. That person must present his/her St. Olaf ID, together with both draw slips.

    Important Note:
    The person present for roomdraw does not need to be the person who possesses the best draw slip, but must be a member of the roommate pair or a proxy for a member of the pair.

    Waiting Lists
    Some students who make the $600 payment are unable to choose a room at the spring roomdraw. Those names are placed on a waiting list according to their roomdraw time. These students are promised housing and will be notified of their assignment by mid-August.

Honor Houses

Eighteen houses located on the periphery of the St. Olaf campus are designated for occupancy by groups of students. The Honor House program in The Book. These College houses are furnished including basic kitchen appliances (i.e. refrigerator, stove and oven) and have partial custodial service. They are considered extensions of the residence hall system and all College policies apply. Applications for honor houses are due at noon on March 12, 2008.

Off-Campus Housing

Some students are granted permission to live off-campus. If you wish to pursue this option, you must complete an Off-Campus Housing Application by March 14, 2008.

Applications for off-campus residency are available on line at the Off Campus web site. Students wishing to live off-campus may participate as an individual or as a member of a housing unit which is defined as up to three students of the same gender.

Submitting an application for off-campus residency also applies to those students who are married; living in Northfield with their parents; part-time for the 2008-2009 academic year; and/or 22 years of age or older by the first day of classes of the 2008-2009 academic year. Students who are members of the categories listed in the previous sentence are considered for off-campus automatically upon receipt of their application.

Off-Campus Applications will be accepted through March 14, 2008. Applications will be considered by the Director of Residence Life to determine which are automatically granted, and which will be granted for special circumstances.

Following that, if there are still available off-campus spaces, we will hold an off-campus draw. This will held on Saturday, April 19, 2008. Please consult the roomdraw schedule for the specific time of the draw. Draw slips and class rank will determine placement in the draw order.

Individuals wishing to participate in the off-campus draw must also pay the $600 deposit by March 14, 2008.


Studying Abroad or on Off-Campus College Programs

Those who will be studying abroad or on off-campus college programs Semester I of 2008 must submit a request for Interim and/or Semester II housing by attending the roomdraw event for Interim and Off-campus Housing on April 19. These students must also make their reservation payments for 2008-2009 by the roomdraw deadline. You will fill out a preference card to indicate where (and with whom) you would like to live when you return to campus.

When submitting the completed Housing Preference Card at the "Request for Interim and/or Semester II Housing" session you must bring the following items:

  • Your room draw slip. This draw slip is to be affixed to the completed Housing Preference Card.

Those students who wish to apply to live off-campus upon their return to the St. Olaf campus at Interim or Semester II must participate in the off-campus application process described previously in the "Off-Campus Housing" section of this document.


Computer Network

Computer network connections are available in student rooms in all residence halls. Students who own a Macintosh or PC-compatible computer will be able to connect to the campus wide network in their rooms. A network connection provides access to campus software, printers, and Internet resources, including worldwide e-mail.

There is no charge to use the network, but students may need to purchase the necessary hardware. The cost of an Ethernet card is approximately $76. For Macintosh with built-in Ethernet (check your manual), the cost will either be $5 for Macs with a built- in transceiver; without built-in Ethernet, the cost is approximately $130. All prices are approximate and subject to change. For older Macintosh's that do not have built-in Ethernet capability, connecting to Local Talk may be an option in some residence halls.
